Service description

The University, in accordance with Legislative Decree 81/08, ensures the protection of the health and safety of all workers.

Safety-related activities are coordinated by the Safety Office, which collaborates with:

  • Department Heads
  • Faculty members responsible for teaching and research activities
  • the Occupational Physician
  • the Radiation Protection Expert
  • the Laser Safety Technician

Each worker is assessed according to the risks associated with their job role and is subject, where required, to health surveillance.

Who it is intended for

The service is intended for all individuals who fall under the definition of “worker”, as established by Article 2, paragraph 1, letter b) of Legislative Decree 81/08. In particular:

  • teaching and research staff
  • technical-administrative staff
  • research fellows and scholarship holders
  • PhD candidates
  • students undertaking internships in laboratories or sports facilities
  • students with part-time work activities
  • students enrolled in the Degree Programme in Dentistry and Dental Prosthetics
  • contractors
  • visitors

Medical residents in specialist training are instead followed by the institution where they carry out their activities.

Following the update of the procedures for transmitting information related to health surveillance, please be informed that:

All staff concerned, prior to starting their activity, are no longer required to complete and submit forms in paper format or via email.

⚠️ Mandatory prior notification

Before accessing the portal, the following data for new entries must be communicated in advance to the Safety Office: first name, last name, tax code, place and date of birth.

The communication must be sent to the following email address:

🧭 New procedure

Once the communication has been submitted, the Safety Office will enter the new users’ names into the platform. This step is a mandatory requirement to allow the completion of the personal data and risk assessment form.

Subsequently, new users must:

  • Access the dedicated portal
  • Complete online the required data for occupational risk assessment

Access to the portal is carried out using institutional credentials.

The system will guide the user through the completion of the required information, including any additional data related to specific risks (e.g., use of display screen equipment, exposure to substances, training completed).

Once the form has been completed, all entered information must be validated by the Head of Laboratory Teaching and Research Activities (RADRL).

To allow validation by the RADRL, the student must click the virtual button “Complete”, available under the section “Mark the form as complete”.

Following the email notification received, the RADRL carries out the necessary checks for validation, verifying the completeness and accuracy of the data entered. If the outcome is positive, they proceed with validation and submission of the form by selecting the “Approve” button.

The data provided are then forwarded to the Occupational Physician, who schedules the fitness-for-work medical examination and includes the worker in the health surveillance programme.

In addition, the student is enrolled in the training programme corresponding to the identified risk level (low, medium, or high).

Workers subject to health surveillance are invited to attend medical examinations at intervals established by the Occupational Physician.

If they are unable to attend a scheduled examination, they must promptly notify the Safety Office by submitting the appropriate form (Form SVP).

Staff members may also request a medical examination whenever necessary by completing the dedicated form (Form MVR).

The staff concerned must promptly notify the Safety Office of any changes to their activities by submitting an updated version of Form SS1 together with any additional supporting documentation required.

The Head of Laboratory Teaching and Research Activities must notify the Safety Office, with adequate notice, of the termination of the activities carried out by the staff concerned, using the appropriate form (Form N-C).

Report a criticality

The worker may report risk situations, inappropriate behaviour, or activities involving exposure to specific hazards by completing the critical issues reporting form (available among the attachments) and sending it to the Safety Office.
