Service description

Microsoft 365 Copilot is the AI assistant integrated into the Microsoft 365 applications used daily at the University, such as Outlook, Word, Excel, PowerPoint and Teams.

Based on generative AI technologies and integrated with the user’s content and permissions, Microsoft 365 Copilot helps with drafting documents, summarising information, analysing data, preparing presentations and managing day-to-day communication.

The service represents the evolution of Copilot Chat, already available to the entire academic community, extending the AI assistant’s capabilities directly into Microsoft 365 work tools.

What is the difference between Copilot Chat and Microsoft 365 Copilot?

Copilot Chat

  • Available to the entire academic community with university credentials.
  • Accessible via a web browser at copilot.microsoft.com.
  • Allows you to generate texts, summaries, synopses and analyses via a conversational chat.
  • No specific assignment is required.
  • Ideal for day-to-day support with writing, searching for information and analysing content.

Microsoft 365 Copilot

  • Available only to users who have been assigned a dedicated licence.
  • Integrated into Outlook, Word, Excel, PowerPoint and Teams.
  • Supports the creation of documents, presentations, data analyses and emails directly within your work tools.
  • Uses the context and Microsoft 365 content to which the user already has access, in accordance with existing permissions.
  • It is designed to boost productivity in day-to-day work activities.

In summary: Copilot Chat is the artificial intelligence service available to all University users. Microsoft 365 Copilot, on the other hand, is an advanced solution, integrated into Microsoft 365 applications and available exclusively to holders of a specific licence.

Who is it for?

The service is intended for teaching, technical-administrative and library staff identified by the Department Heads and the Managers of the Central Administration units.

The University currently has a limited number of Microsoft 365 Copilot licences, which are allocated according to the organisational and operational needs of the units.

How to apply for a licence

Microsoft 365 Copilot licences are distributed to the departments and divisions of the Central Administration.

Department Directors and Senior Managers independently identify the individuals to whom the service is to be assigned and submit their requests to the following address:

web.referente@uninsubria.it

Requests received directly from individual users cannot be processed without prior authorisation from their respective department.

Key features

Microsoft 365 Copilot allows you to:

  • draft and edit documents in Word;
  • create summaries of messages and conversations in Outlook;
  • analyse data and create formulas in Excel;
  • create PowerPoint presentations from existing documents;
  • extract summaries and action points from meetings in Teams;
  • quickly retrieve information from content to which the user has access.
Data security and protection

The University promotes the use of institutional artificial intelligence tools as they are designed to operate in compliance with security, privacy and data protection measures relating to the University’s information assets.

Content generated via the Copilot services made available by the University:

  • is protected by the Microsoft 365 security policies applied to the institutional account;
  • comply with the permissions already in place on the user’s documents and data;
  • are not used for training generative artificial intelligence models.

Users are, however, required to comply with the University’s Guidelines on the Use of Artificial Intelligence and the applicable legislation on the protection of personal data.

How to log in

Once your licence has been issued, Microsoft 365 Copilot will automatically be available in the Microsoft 365 applications linked to your institutional account.

To use the service, you must log in using your University credentials.
