OneDrive is a cloud tool made available through the Microsoft 365 platform and can be used to store, share and edit files. Each user has 1 TB of storage space. This service is available 24/7 and is provided directly by Microsoft via its data centres located within the European Union.
OneDrive is also compatible with Android and iOS operating systems on smartphones and tablets, making synchronisation and cross-platform compatibility a valuable working tool.
This allows you, for example, to create a file on your PC and then edit it on a tablet or smartphone, with all changes automatically saved.
Users can save multiple versions of the same file (making it possible to recover deleted changes from a previous version), and a recycle bin accessible via the web is also available.
Typical use cases
- Teaching staff can avoid using USB flash drives by saving teaching materials on their OneDrive and then downloading or viewing them directly from the teaching PC in the classroom, after logging in with their institutional account.
- Students can use the OneDrive space linked to their account to save work created on teaching PCs.
- Technical, administrative and library staff can use OneDrive as a backup for their personal documents stored on the file server or equivalent departmental systems.
The OneDrive service is linked to the validity of the University’s Microsoft licence assigned to you. When the University services associated with your @uninsubria.it or @studenti.uninsubria.it account are terminated, in accordance with the procedures set out in the University regulations governing access to and use of ICT infrastructures (available on the institutional website), the Microsoft services licence will also expire and, consequently, access to OneDrive will end. After a further 30 days granted by Microsoft for a final possible data recovery, any data stored on your OneDrive will no longer be accessible.
Teaching staff and students will find a link to access their OneDrive directly on the desktop of classroom and laboratory computers, once they have logged in to the PC using their University account.
To use OneDrive, you must sign in with your Uninsubria Microsoft account (staff: name.surname@uninsubria.it or idsxxxx@uninsubria.it; students: nsurname@studenti.uninsubria.it) and the corresponding password.
To access the service, click on the blue cloud icon at the bottom right of the screen near the date and time, or go to Start and launch OneDrive. Then enter your Uninsubria Microsoft account credentials (email address and password) and follow the on-screen instructions. Once these initial steps have been completed, OneDrive will be ready for use.
OneDrive can also be used directly via a web browser.

You will immediately have access to the full list of your files, with the ability to view, edit, share or download them to your computer.
You can also access this service using a Public Digital Identity System (SPID) or an Electronic Identity Card (CIE).
Please note: to access the service correctly using this method, you must currently already have an account issued by the University.
